This Privacy Policy describes how Quote Rocket LLC (“Quote Rocket,” “we,” “us,” or “our”) collects, uses, stores, and shares information when you visit https://quoterocket.ai, use the Quote Rocket cloud CRM and related services (the “Service”), or connect a Google account to Quote Rocket.

1. Who this policy applies to
This policy applies to:
- Visitors to the Quote Rocket website
- Subscriber organizations and their authorized users who use Quote Rocket
- Individuals whose Google account is connected to Quote Rocket through the Gmail Email Agent feature

2. Information we collect
A. Information you provide directly
We may collect information you provide when you create an account, use the Service, contact support, or subscribe, such as:
- Name, business name, email address, phone number, and job title
- Account credentials and profile settings
- CRM data you enter (contacts, companies, notes, quotes, and related business records)
- Communications with our support or sales teams
B. Information collected automatically
When you use the Service, we may automatically collect:
- Log data (IP address, browser type, device information, pages viewed, timestamps)
- Cookies and similar technologies on our marketing website (see Section 8)
- Usage and diagnostic information needed to operate, secure, and improve the Service
C. Google user data (Gmail connection)
If you choose to connect Gmail to Quote Rocket, we access Google user data only after you sign in to Google and grant permission through Google’s OAuth consent screen.
Google user data we may access includes:
- OAuth authorization data, including access and refresh tokens needed to maintain your Gmail connection
- Gmail message metadata for unread messages, such as sender, subject, message ID, thread ID, and message snippet
- Gmail “Send As” settings, including your default send-as address and email signature, when available
- Actions in Gmail needed to provide the feature, such as sending replies on your behalf (when enabled) and marking processed messages as read
We access Gmail only for users who have enabled the Gmail Email Agent feature and only for messages from senders that match eligible contacts in your Quote Rocket CRM (as configured by you or your administrator).
We do not request or use Google user data for purposes unrelated to the Gmail Email Agent and Quote Rocket CRM functionality described in this policy.
3. How we use information
We use personal information to:
- Provide, operate, maintain, and support the Service
- Authenticate users and manage accounts
- Process subscriptions and respond to inquiries
- Secure the Service, prevent fraud and abuse, and troubleshoot issues
- Comply with legal obligations
- Improve the Service based on aggregated or de-identified usage patterns
How we use Google user data
We use Google user data only to provide and improve the Gmail Email Agent feature within Quote Rocket, including to:
- Maintain your authorized Gmail connection
- Read unread Gmail messages from eligible CRM contacts
- Classify inbound messages and generate summaries or suggested replies using AI
- Send email replies from your connected Gmail account when your selected profile allows automatic sending
- Log activity to your Quote Rocket CRM (notes, notifications, and reply history)
- Apply your Gmail send-as signature when sending replies
- Mark processed Gmail messages as read to avoid duplicate processing
We use Google user data only to provide or improve user-facing features of Quote Rocket. We do not use Google user data for advertising, interest-based advertising, retargeting, credit decisions, lending, building standalone marketing databases, or training machine learning models.
4. How we share information
We do not sell personal information or Google user data.
We may share information in these limited circumstances:
A. Service providers (processors)
We use trusted third-party providers that help us operate the Service, subject to contractual confidentiality and security obligations, such as:
- Google LLC — Gmail API access, authentication, and email delivery when you connect Gmail
- OpenAI — AI processing to classify, summarize, and draft email responses for the Gmail Email Agent feature. Google user data sent to OpenAI is limited to what is necessary to perform this feature (for example, message snippets and related CRM context) and is used only to generate responses for your account, not to train public models on your Google data
- Cloud hosting, database, email delivery, payment, and support vendors — infrastructure and business operations
We share Google user data with third parties only as needed to provide or improve the Gmail Email Agent and Quote Rocket functionality described in this policy.
We do not share, transfer, or disclose Google user data to third parties for:
- Targeted, personalized, interest-based, or retargeted advertising
- Selling to data brokers or information resellers
- Credit-worthiness or lending decisions
- Any purpose unrelated to providing or improving Quote Rocket
B. Your organization (multi-tenant subscribers)
If you use Quote Rocket through a subscriber organization, certain information (including CRM records and email-agent activity logs) may be visible to authorized administrators and users within that organization according to role permissions.
C. Legal and safety
We may disclose information if required by law, legal process, or governmental request, or when we believe disclosure is necessary to protect rights, safety, security, or the integrity of the Service.
D. Business transfers
If we are involved in a merger, acquisition, or asset sale, information may be transferred as part of that transaction, subject to continued protections consistent with this policy.
5. Data retention and deletion
We retain personal information for as long as needed to provide the Service, fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce agreements.
Google user data retention:
- OAuth tokens are stored while your Gmail connection remains active.
- Email-agent processing records (such as message IDs, subjects, sender details, AI summaries, suggested replies, and CRM notes derived from processed emails) are retained according to your subscriber account settings and normal CRM data retention practices.
- When you disconnect Gmail or your account is deactivated, we delete or de-identify Google OAuth tokens and stop accessing your Gmail account.
How to disconnect or request deletion:
- In Quote Rocket, use My Profile → Email Agent (Gmail) to turn off the Email Agent.
- Revoke Quote Rocket’s access in your Google Account at https://myaccount.google.com/permissions.
- Contact us at [privacy@quoterocket.ai] to request deletion of Google-related data associated with your account, subject to legal and operational retention requirements.
When retention periods expire or upon verified deletion requests, we delete or destroy data unless a longer retention period is required or permitted by law.
6. Data security
We maintain administrative, technical, and organizational safeguards designed to protect personal information and Google user data, including:
- Encryption in transit (HTTPS/TLS) for data transmitted between your browser and Quote Rocket
- Access controls and role-based permissions within subscriber accounts
- Secure storage of OAuth tokens and production credentials
- Monitoring, logging, and administrative controls for sensitive account actions
- Multi-factor authentication options for Quote Rocket login accounts
No method of transmission or storage is completely secure. We cannot guarantee absolute security.
7. Your choices and controls
You can:
- Choose whether to connect Gmail to Quote Rocket (connection is optional)
- Select your Gmail Email Agent profile (automatic send, record-only, or suggest-and-approve)
- Control which CRM contacts are eligible for AI email processing
- Turn off the Email Agent in Quote Rocket
- Revoke Google access at any time through Google Account settings
- Request access, correction, or deletion of your personal information by contacting [privacy@quoterocket.ai]
8. Cookies and website analytics
Our public website may use cookies and similar technologies for basic functionality, performance measurement, and marketing. You can control cookies through your browser settings. This section does not apply to Google user data accessed through Gmail OAuth.
9. Children’s privacy
Quote Rocket is a business service and is not directed to children under 13 (or the minimum age required in your jurisdiction). We do not knowingly collect personal information from children.
10. International users
If you access the Service from outside the United States, your information may be processed in the United States or other countries where we or our service providers operate. Those countries may have different data protection laws than your country.
11. Changes to this policy
We may update this Privacy Policy from time to time. If we change how Quote Rocket accesses, uses, stores, or shares Google user data, we will update this policy and, where appropriate, notify users through the Service or by other reasonable means. The “Last updated” date at the top reflects the most recent revision.
